Job Description: The Office Coordinator/Receptionist is responsible for being a welcoming presence for clients. This includes answering and routing phone calls, emails and in person inquiries to the correct staff person. This person is also responsible for managing our resources for clients and other administrative tasks outlined below. This position reports to the Operations Manager.

Primary responsibilities include:

Client inquiries

  • Respond to client calls/emails
  • Assign clinical inquiries to staff
  • Assist clients with signing up for acuity appointments or filling out the contact us form

Resource management

  • Manage online resource directory
  • Manage networking lists
  • Manage crowdsource application


  • Record and distribute full staff meeting minutes
  • Purchase office supplies
  • Manage office machinery (postage meter, printer)
  • Process mail
  • Maintain office keys
  • Report office maintenance issues
  • Coordinate office space for staff, volunteers and events
  • Coordinate laptop usage for volunteers

Onboarding new staff

  • Run CORIs
  • Set up email addresses
  • Set up Password Protection
  • Set up phone extension and provide instructions
  • Update telephone extension list

Other tasks or projects as assigned by Operations Manager
